Lewis & Clark Comm College Project Support Specialist in Godfrey, Illinois


Purpose of Position

Provide project and administrative support to the Project Director and other project specialists for consortium-wide activities including monitoring / tracking of program progress, coordination and flow of data collection, preparation of reports including analysis and chart / graphic development. Coordinate, schedule, and help conduct meetings and conference calls, record and distribute meeting notes / minutes, correspondence, use of collaborative work space, and other necessary project and administrative tasks (e.g., maintaining up-to-date contact information and email distribution lists).

Essential Duties and Responsibilities

The following are duties that are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required or assigned.

  • Works with Project Director, and other project specialists on tasks to provide comprehensive support for day-to-day operations of the Southwestern Illinois Consortium for Youth Pathways and all of its activities

  • Works with the directors in the collection of key evaluative data from students and partners and in that capacity helping to ensure data integrity and reliability, and the maintenance of communications platforms

  • Maintains accurate consortium records through establishing sound filing systems for financial and programmatic data and information, working together with all project-level staff

  • Provides support services for Project Director and other project level staff such as the preparation of minutes from all consortium level meetings, preparation and scheduling of intra-consortium level meetings, as well as project staff meetings

  • Aids in the preparation of necessary spreadsheets for the Project Director and other specialists

  • Maintains and prepares intra-consortium level correspondence

  • Works with the Project Director, other specialists, and Finance department for preparation of required quarterly financial reporting

  • Assists with the preparation of various letters, memos, forms, policies, manuals and other documents related to maintaining regular communication within the consortium

  • Assists with the purchasing of office supplies in an effort to maintain an efficient workflow

  • Maintains office supplies and equipment

  • Performs assignments with highest degree of confidentiality

  • Performs other duties as assigned

Minimum Qualifications

Minimum Training and Experience Required to Perform Essential Job Functions Associate degree in office technology or related field, as well as a minimum of two years experience of program or office management, preferably in the area of federal grants.


  • Strong interpersonal, oral, and written communication skills

  • Proficient in computer software applications including Microsoft Word and Excel (Required)

  • Excellent proofreading skills and attention to detail

  • Successful candidate must be great at multitasking and must be willing to demonstrate flexibility in work schedule-see “Other Requirements” below

  • Ability to work under pressure and

  • Demonstrable organizational skills to effectively meet deadlines and support Director and staff to meet deadlines

  • Documented previous experiences working with grants is preferable

Monday-Friday, 8:00-4:30
